Motion to the Annual General Meeting

A member has the right to have a matter considered at a general meeting if requested, and in accordance with the procedures and deadlines stated in the association’s statutes.

To allow a decision to be made at the annual meeting, a motion must be submitted in writing to the board no later than one month after the end of the financial year.
The financial year runs from January 1 to December 31.

At the annual meeting, questions can be raised under the item “Other matters”, but no decisions can be made on such issues.

How to write a motion

  • Title: Clearly state what the motion concerns.
  • Background: Briefly describe why the matter is important or needs to be addressed.
  • Proposal: Present your suggestion.
  • Decision statement: Formulate your proposal in clear “that” statements (e.g., “that the meeting decides to…”). Each proposal must be specific so that the meeting can vote yes or no. If you have several proposals, use multiple “that” statements or submit separate motions.

The motion must be signed by the proposer. Please print your name clearly. Only members of the association have the right to submit motions to the annual meeting.

The motion will be attached to the notice of the annual general meeting so that it can be considered and decided upon at the meeting.
